Even though electronic data interchange has digitized purchase- and order processes, manual routines are often required to ensure the quality and validity of the content within the received documents. This is because both invoice- and order documents are often expected to contain information beyond what is required by laws and regulations. As a recipient, you often require additional information to simplify internal processing.
For instance, you may want to control:
- Does the document contain a valid project number?
- Is this supplier approved?
- Does the document contain enough information about which store will receive the order?
- Is a purchase order number included?
- Are all references correct?
Document flow optimization with Logiq Document Control
Logiq Document Control is a cloud service that analyzes all incoming documents before they are received by your organization. Using innovative technology, the documents are validated, and any discrepancies are identified based on your organization’s requirements and needs.
Many of the discrepancies identified can be automatically corrected based on the algorithms embedded in Logiq Document Control. The corrected document can then be forwarded to your internal systems for further processing.
However, if a document contains errors or deficiencies that cannot be corrected, you can set the rules for how the service should act on your behalf:
- The document can be stopped and made available in Logiq Customer Portal. This allows you to correct the document before it is sent to your internal systems.
- The document can be stopped, and the sender notified. The sender will be made aware about your requirements for these types of documents, and they must correct the mistakes in an online portal before it can be resent.
- The document can be marked to indicate which elements require attention, before being sent through to your own systems. The sender will be notified of the incident and is encouraged to correct the mistake in any future documents they send.
The result is a significant reduction in manual labor, and an optimized document flow into your organization.
